Microphone Mute

During speakerphone conversation.  Press auto answer mute - turns off microphone  (light flashes red slowly).  Press again to turn microphone on  (light goes out)

Privacy Release

Press the line key you are talking on.  (Line key flashes for 5 seconds)  Anyone may push the same key and join conversation

Redial, Last number

Lift Handset or press line key.  Press Redial

Speed Dialing, System  Numbers programmed in system speed dial

Press Auto Dial/Store key.  Press any dial keys to spell by first two letters of name.  Press down or up arrow to get to name.  When the name is displayed, pick up handset or press speakerphone.  Non-display phones press STAR STAR and enter system speed code (000-999)

Transfer

While on a call, press transfer key (party is placed on hold)  Dial station number or press DSS key.  Hang up or Wait for answer, announce, hang-up

Voice Mail Transfer      Transfer directly to mailbox WITHOUT phone ringing

While on a call, press VTR key.  Enter extension/mailbox number, Hang up

FWD Busy: Callers will FORWARD directly to voice mail or extension entered IF the phone is busy.  If the phone is idle, callers FORWARD after a set number of rings.

FORWARD NO ANSWER *7104XXX#

FWD NA: Callers will FORWARD to voice mail or extension entered after a set number of rings if the phone is idle.  Inside callers will hear a busy signal if you are on the phone.  Press 1 to ring through to their phone when you hear the busy (See NOTE below)

BUSY or NO ANSWER *7105XXX#

Forward B/NA:  Enter the extension number. Calls will go directly to voice mail if phone not answered or busy.

 

NOTE: When you call an extension and hear a busy signal, you can alert them you are trying to reach them by pressing the 1 button IF they have pre-set call waiting.  To pre-set call waiting on a phone press INTERCOM STAR 7311.  From then on callers can press 1 to alert you when you are on the phone and they hear a busy signal.  Remember, they will only hear a busy signal if you have set Forward N/A.  If they had set Forward Busy on extension calls, you would go directly to voice mail when they are on the phone.   Click here for additional Forwarding Options

Before you can enter as a subscriber you must first open your mail box (LOG-IN).  If this is a new mailbox, you will most likely hear a tutorial to get you started.  Follow the prompts and complete the tutorial (you cannot get your messages until it is completed).  With most Panasonic systems you have direct access to your mailbox by dialing the voice mail extension from your phone, or even easier, pressing a programmed flexible key on your phone.  Using this feature, you (or anyone else who has access to your phone) are connected to your mailbox immediately.  We suggest you have your mailbox password protected. 

Normally 500 or 165 is the extension number for voice mail when 3-digit extension numbers are used.  In some companies, a different extension number is used.  If yours is different, please substitute the correct extension number.   Personal Custom Service Options

 "This is me.  I’ve gone home for the day etc."

TEMPORARY

Special greeting heard callers instead of the regular greeting.  "This is me.  I’m out of the office this week etc.." 

When you check messages, you are reminded the temporary greeting is in use and you can turn it off.

PASSWORD

Enter your password.

NAME

Record your name.  It is used in several instances such as when you transfer a message to another subscriber (user)

Repeat message:  1

System will repeat the message you are playing

Play next message:  1  2

System will play the next message

Pause: 2

Pause, press 2 again to resume play

Delete message:  3

Deletes the message, it will remain as a deleted message until the end of the following day

Transfer to another user:  7

(7, Box Number, 2, 1)

or

(7, Box Number, 2, 2)

System will ask you to enter the destination number which is the mailbox where you want to send the message being transferred.

Press 2 to accept if correct or 3 to repeat the number you entered or press 1 to change

Press 1 to transfer or 2 if you want to leave a comment.  If you pressed 2, leave comment at the tone, press 1, press 2 to accept

Backs up message about 5 seconds  during playback, you can press more than once

Fast Forwards message about 5 seconds  during playback, you can press more than once

Adjust volume:  8

Pressing 8 will raise the volume.  After the third time you press 8 it will return to the original volume level.

# 6, Extension, transfers directly to the persons greeting.

# 8, Extension, rings desk before forwarding to greeting.

2 lets you skip greeting and leave your message.

The voice mail is able to call up to 3 devices (telephones or beepers) when a message has been recorded in your mailbox.  It calls them in order, such as telephone 1, telephone 2, beeper 3.  The example below is assuming the mailbox does not have an existing telephone number programmed.  If a number is programmed, the VPS will recite the number and ask if you want to make a change.  Just follow the prompts to change the number.

Log into your mailbox Press 5 3

Dial 9 and the phone number as you would normally dial

The system will recite the number and give you the option to change or accept.

To change, press 1

If correct, press 2

To review, press 3

"For Notification by telephone, press 1

For notification by beeper, press 2"

 

Press 1 or 2

 

"To change the first telephone number, press 1, To change the second telephone number, press 2, To change the third telephone number, press 3"

 

 

"Telephone number is not assigned.  Any digit on the telephone keypad can be used.  Enter the telephone number and wait.  To insert a pause or special command, enter the partial number and wait for the options menu."

You will normally set the first telephone number.

Enter the telephone number you want to assign, starting with a 9 to access an outside line and 1 if required for long distance.

2.      Enter the device number (1, 2 or 3)

3.      Press 1 for all messages or 2 for urgent messages

4.      Press 3 (Notification is now OFF)

4.      Press 2 For Continuous Use (Notification is now back ON)
